HR & Admin Assistant

Key Responsibilities:

1. HR Administration

  • Maintain and update employee personal files, ensuring accuracy and confidentiality.
  • Assist in preparing employment contracts, offer letters, and other HR-related documents.
  • Track employee probation, renewals, and contract expiry dates.
  • Support HR in onboarding and offboarding processes, including document collection and clearance formalities.

2. Visa, Work Permit & Legal Compliance

  • Track and monitor the validity of employee visas, Emirates IDs, labor cards, and work permits.
  • Coordinate with PRO / Government Relations Officer for timely renewals and cancellations.
  • Maintain an updated visa and permit tracker and prepare periodic reports for management.
  • Ensure all employee documentation complies with UAE labor law and company policy.

3. Insurance Management

  • Maintain employee medical insurance records and ensure timely addition, deletion, or renewal.
  • Coordinate with insurance providers for policy updates and claims.
  • Track insurance expiry dates and maintain accurate policy documentation.

4. File & Record Management

  • Maintain a centralized filing system (physical and digital) for HR and administrative documents.
  • Update employee databases and HR trackers regularly.
  • Support internal and external audits by providing required HR documentation.

5. General Administration Support

  • Assist with office administrative tasks such as stationery management, attendance tracking, and coordination with other departments.
  • Handle employee queries courteously and efficiently.
  • Support HR initiatives such as employee engagement activities and welfare programs.


Skills

Qualifications & Skills:

  • Bachelor’s degree in Business Administration, HR Management, or related field.
  • Minimum 1–2 years of experience in HR and administrative roles.
  • Knowledge of UAE labor laws, visa processing, and insurance procedures.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Strong organizational skills with attention to detail.
  • Ability to handle confidential information professionally.
  • Good communication and interpersonal skills.
