What We’re Looking For

• Strong and extensive Knowledge and Passion for various music genres, including Pop, R&B, Hip-Hop and Electronic, as well as an Awareness of International Music Trends.
  
• Excellent Networking and Interpersonal Skills with a demonstrated ability to Build Relationships and Collaborate with Artists, Record Labels, and Talent Agencies.
  
• Strong proficiency in Microsoft Excel, PowerPoint, and Microsoft Office Suite.
  
• Experience preparing reports, dashboards, trackers, budgets, and P&L analysis.
  
• Impeccable communication skills, both verbal and written, with fluency in English.
  
• Next-Level Organisational and Leadership skills, effectively leading and inspiring the FIVE Tribe to New Heights.
  
• A Proactive Nature, coupled with a meticulous Eye for Detail, ensuring every aspect of the Operation is curated to perfection.

Key Responsibilities

• Coordinates the day-to-day administrative operations of the Entertainment Department.
  
• Maintains entertainment schedules, event calendars, and operational trackers, ensuring all information is accurate and up to date.
  
• Assists in preparing monthly reports, departmental presentations, and performance summaries.
  
• Supports the preparation, monitoring, and reconciliation of departmental budgets and P&L reports, ensuring accurate tracking of expenses and revenue.
  
• Processes purchase requisitions, purchase orders, invoices, supplier payments, and expense claims in accordance with company procedures.
  
• Maintains contracts, documentation, permits, licenses, and departmental records, ensuring compliance and timely renewals.
  
• Coordinates internal approvals and follows up with Finance, Procurement, Marketing, Events, and Operations on departmental requirements.
  
• Prepares weekly, monthly, and ad hoc operational reports, including attendance, entertainment costs, event performance, and revenue analysis.
  
• Updates and maintains trackers for performers, entertainment schedules, contracts, budgets, invoices, and departmental KPIs.
  
• Assists with event planning and logistics, ensuring all operational requirements are completed before, during, and after each event.
  
• Coordinates artist arrivals, accommodation, transportation, and operational requirements where required.
  
• Maintains inventory records of entertainment equipment, costumes, props, and other departmental assets.
  
• Responds promptly to internal and external enquiries while providing professional administrative support to the Entertainment team.
  
• Performs any additional administrative or operational duties.
