Russian Speaking Personal Assistant

We are looking for a proactive, detail-oriented Personal Assistant for a Business Leader who can adapt to changing demands, manage multitasking effectively, prioritize well, and maintain a high level of organization. The role includes both business and personal tasks in the interests of the employer and her family. While most tasks are UAE-based, assignments may also relate to Moscow, Europe, the UK, and other countries. Business Tasks • Expense reporting — preparing business expense reports separately from personal (for reimbursement or deduction). • Meeting/Call/Negotiation coordination — booking restaurants, meeting rooms, arranging access passes and parking. • Calendar management — scheduling and rescheduling, accurate event entries, timely confirmation of changes/cancellations. • Primary point of contact for external inquiries. • Business travel coordination — selection, booking, and payment of flights, hotels, and transfers. • Document execution workflow — coordination of signature processes. • Office catering — ordering lunches and snacks upon request. Personal Tasks Calendar & Schedule Management • Build schedules and coordinate the calendar. • Arrange and book personal meetings, calls, and appointments. • Reschedule meetings/events as needed. • Maintain the calendar of business trips and track personal travel. • Birthday reminders and monitoring of important dates. • Add the school holiday plan to the calendar. • Daily detailed planning and coordination of the driver’s schedule. Reporting & Expenses • Prepare and analyze personal expense reports (based on bank statements). • Pay for school trips and additional school/extracurricular activities. • Prepare children’s expense reports. • Report on payments executed by you. • Track staff expenses and payouts. • Maintain a deposits tracking table. • Pay utilities, mobile plans, home subscriptions, tolls, and fines. Documents, Communication & Processing • Draft documents; amend existing documents. • Draft letters; communicate on behalf of the employer on important family/home matters. • Visas — control and processing. • Monitor expiration dates and assist with issuance/renewal for the entire family and household staff. • Renew tenancy contracts, car registration, insurance, storage unit; recover security deposits upon termination. • Translate documents (Russian ? English). • Keep documents up to date in Google Drive and SharePoint. • Update contacts, business cards, and the preferred contacts/vendors file. • Remind about using vouchers. • Monitor and update memberships. • Properly format proposed options; prepare tables in English (including using/editing existing templates). • Draft and amend signed agreements (personal matters / household staff). • Timely control, update, and payment for additional classes/activities. • Administrative Support

Skill in asking clarifying questions, structuring tasks, protecting the principal’s time and resources, and ensuring issues are resolved. Effective dialogue and negotiation skills, strong business writing, and solution-oriented communication. Candidate Requirements • Active Russian-speaking, residing in the UAE and ready to commute for an office-based role. • 3+ years of relevant experience. • English fluency is mandatory. • Must always act in the interests of the employer (and her family), be honest, and not combine this job with other employment. Tools & Systems Hands-on experience with LinkedIn, Outlook (email & calendar), Google Drive, Google Meet, SharePoint, PowerPoint, Excel, Word, ChatGPT, Zoom, WhatsApp, Telegram. Working Conditions • Salary: AED 8,000 during the probationary period; AED 10,000 after successful completion. • Probation: 3 months. • Schedule: 5 days/week, 09:00–18:00, office-based, full-time. Irregular/extended hours as needed. • After hours: reachable for urgent matters. • Peak workload: additional time is paid on top of the monthly salary. • Vacation: paid leave during family vacations (most often in summer). • Benefits: healthy and respectful working environment, onboarding and handover from the current assistant, training and guidance from an executive assistant.
