Key Responsibilities:
- Greet and Welcome: Warmly greet visitors, clients, and employees as they enter the office, creating a positive and inviting atmosphere.
- Answering and Directing Calls: Handle incoming phone calls, route them to the appropriate department or individual, and take accurate messages when necessary.
- Front Desk Management: Maintain a clean and organized reception area, ensuring that it is well-stocked with necessary supplies, brochures, and reading materials.
- Visitor Assistance: Assist visitors with signing in, issuing visitor badges, and notifying employees of their arrival.
- Scheduling: Manage appointment calendars for meeting rooms and coordinate room reservations for various events.
- Mail and Package Handling: Receive and distribute mail and packages, and ensure timely delivery to the appropriate recipients.
- Administrative Support: Provide administrative assistance to various departments, including data entry, photocopying, scanning, and filing.
- Communication: Relay important messages and announcements to employees promptly.
- Security: Monitor security by ensuring that all visitors adhere to security protocols and access control procedures.
- Problem Resolution: Assist in resolving any issues or concerns that may arise, redirecting them to the appropriate personnel as needed.
Skills
Qualifications:
- High school diploma or equivalent; additional education or certification is a plus.
- Proven experience as a receptionist or in a similar role.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking abilities.
- Professional appearance and demeanor.
- Customer service-oriented attitude.
- Ability to maintain confidentiality and handle sensitive information with discretion.
