Position: Administrative Assistant

Job Description:

  • Manage office inventory
  • Maintain day-to-day operations, including basic workplace hygiene
  • Ensure adherence to compliance and up to date business registration documents (trade license, establishment card, chamber of commerce)
  • Oversee service maintenance contracts
  • Serve as the main point of contact for building management
  • Schedule and coordinate weekly team meetings
  • Be responsible for the planning and booking for company staff cost effective international travel to include flight and hotel bookings, understand visa requirements and transit requirements, health and insurance considerations, etc.
  • Manage visa application process for all company management and consultants.
  • Maintain records of staff insurance policies and manage renewals in collaboration with individuals.
  • Maintain employee database: passport, visa expiry, annual leave records and contact information
  • Provide support to the executive team members and company directors as required

Knowledge & Qualifications:

  • University Degree or Diploma in Administration or relevant field

Experience:

  • Relevant experience in a similar role for 3 - 5 year

Skills and Abilities required:

  • Proficient in MS Office suite
  • Advanced IT and analytical skills
  • Attention to detail
  • Excellent communications skills.
  • Fluent English
  • Arabic speaker - Mandatory
  • Ability to work independently, with minimum supervision
