Office Manager/Administrative Executive Assistant

Role Overview:

We are seeking a highly organized and proactive Office Manager/Administrative Assistant to join our team. This role involves providing administrative support, managing day-to-day office operations, and coordinating business travel arrangements, including booking flights, hotels, and restaurants for business trips. The ideal candidate will have excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

  • Oversee the smooth operation of the office, including ordering supplies, managing office equipment, and ensuring a clean and efficient work environment.
  • Coordinate and manage all aspects of business travel, including booking flights, hotels, ground transportation, and restaurant reservations.
  • Schedule and organize meetings, appointments, and events for senior management. Handle confidential information and documents with discretion.
  • Assist with onboarding new employees, including setting up workstations and equipment.
  • Prepare and maintain office reports, invoices, and documentation.
  • Answer phone calls, respond to emails, and act as the first point of contact for visitors. Manage calendars, organize appointments, and ensure meetings run smoothly.
  • Provide administrative support to various departments as needed.

Must have:

  • Previous experience as an Office Manager, Administrative Assistant, or similar role.
  • Strong organizational and multitasking skills.
  • Advanced English level Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Experience in booking travel (flights, hotels, restaurants) is a must.
  • Ability to handle sensitive information with a high level of confidentiality.
