We are seeking an Executive Personal Assistant to provide high-level administrative support to the CEO at CARTER & WHITE. This role requires a dynamic, highly organized, and proactive individual who thrives in a fast-paced environment. The ideal candidate will possess exceptional communication skills and a strong attention to detail.
Key Responsibilities:
Executive Support:
- Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and review documents, reports, and presentations for senior leadership.
- Handle confidential and sensitive information with discretion and professionalism.
- Provide general administrative support, such as managing emails, phone calls, and correspondence.
Travel Coordination:
- Organize international and domestic travel itineraries, accommodations, and transportation for senior executives.
- Ensure travel schedules are efficient and aligned with business priorities.
Event Coordination:
- Assist with the planning and execution of corporate events, product launches, and high-profile client meetings.
- Manage guest lists, invitations, and event logistics.
Liaison and Communication:
- Serve as a primary point of contact between the CEO and internal teams and external contacts.
Office Management:
- Oversee the efficient operation of the Head Office, ensuring all supplies and resources are available and up to date.
- Coordinate with various departments (HR, Finance, Operations) to ensure smooth internal operations.
Personal Support:
- Assist with personal tasks and errands as needed, in line with the professional expectations of a luxury brand.
- Provide support in managing day-to-day personal matters, including appointments and schedules.
Experience
- Minimum of 5 years of experience as an Executive PA, or in a similar high-level administrative support role, ideally within the luxury retail, fashion, or hospitality industries.
- Proven ability to manage complex calendars and travel logistics for senior leadership.
Skills and Attributes:
- Strong organizational skills with a keen attention to detail and ability to prioritize multiple tasks.
- Exceptional verbal and written communication skills, with the ability to communicate effectively with senior executives.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and familiarity with other relevant tools or systems.
- Discretion and confidentiality when dealing with sensitive information.
- Fluency in English and Arabic.
- Highly adaptable, proactive, and capable of thinking ahead and taking initiative.
- Excellent interpersonal skills and ability to build relationships at all levels of the organization.
- Ability to work under pressure and maintain a calm and composed attitude in fast-paced environments.
