Job Title: PROCUREMENT AND ADMIN EXECUTIVE (F e m a l e)

Document: JOB DESCRIPTION AND RESPONSIBILITIES

Reporting: Financial Controller - Admin Manager

Skills: Experience in shipments, logistics and procurement


Procurement Executive (Jan - Sep): 

- Assist GM in Product selection and recording.

- Assist Procurement In-charge in.

Product:

- Keep records of product / purchase / production process and shipment arrival schedule;

- Enter in the ZOHO (ERP system) PO, SKUs, SRP, etc.

- Update the inventory in online webstore (Shopify)

- Coordinate with Warehouse and Sales team

- Coordinate and assist in data entry for goods received in ERP (if required).

Logistics:

- Organize QC at supplier factory

- Assist, coordinate and track shipping date and vessel booking with forwarder.

- Assist in monitoring the production and shipments

- Coordinate necessary documents from suppliers and forwarders

- Maintain records of Shipping Documents from suppliers (filing).

- Coordinate GRN report, QC inspection and follow up for any damages

Samples:

- Keep records of samples and other items movements WH-office-WH and WH- CUSTOMER-WH


Purchase:

Assist in ordering non-trading items for the Office, Store and warehouse with management approval.

Admin Executive (year around):

- Assist the Finance Manager (FM) in:

- Submit updated purchase report on timely basis to FM (based on Purchase responsibilities)

- Assist FM in recording supplier transactions in ERP (LPOs, payments, credit note).

- Assist FM in updating supplier statements for correct ending balances before final payment.

- Liaise and supervise relevant admin staff to ensure sufficient stock of office supplies and cleanliness.

Pop-up shop (Reporting line shifts to Finance Manager during popup shop in Festive Season Oct- Jan) 

- Work and coordinate related to shop and inventory requirements in the festive popup shop and warehouse (when required) during peak season (Oct-Jan)

- Supervise inventory records, ornaments picking, coordinating for arrangement of deliveries from the warehouse (for popup shop and website clients).





Skills

  • Degree holder with at least 2 years of relevant work experience
  • Strategic thinker with a high degree of initiative and integrity
  • Strong interpersonal skills with ability to communicate effectively at different levels
  • Excellent written and computer skills
  • Be meticulous and organised, to multi-task effectively in a fast paced environment
  • Minimum 2 years experience in Supply Chain, Procurement and logistics
