The Administrative Assistant will play a vital role in supporting the administrative operations of GrassItUp in the UAE. This role requires a proactive and detail-oriented individual with UAE experience, who can efficiently handle various administrative tasks and contribute to the overall success of the company. Additionally, the Administrative Assistant will act as a key point of contact for delivery coordination, manage showroom housekeeping, provide assistance to the CEO, and ensure exceptional customer care with meticulous attention to detail.
Key Responsibilities:
• Assist in company registration processes, including visa applications and other legal requirements.
• Perform data entry tasks accurately and efficiently, ensuring the integrity and confidentiality of company records.
• Manage product entry and inventory records, including updating databases and tracking product availability.
• Coordinate with suppliers and vendors to ensure timely delivery of products and services.
• Handle general administrative duties such as answering phone calls, responding to emails, and maintaining office supplies.
• Organize and maintain physical and digital filing systems, ensuring easy retrieval of documents as needed.
• Assist in the preparation of reports, presentations, and other documents as required by management.
• Coordinate delivery schedules and liaise with logistics partners to ensure smooth and timely product deliveries.
• Follow up on shipments with logistics partners and update relevant stakeholders on delivery status.
• Manage showroom housekeeping to maintain cleanliness and organization, ensuring a positive customer experience.
• Provide administrative support to the CEO, including scheduling meetings, managing calendars, and handling correspondence.
• Assist the design team by gathering materials, coordinating meetings, and organizing project files.
• Handle customer inquiries with a pleasant and helpful demeanor, providing information about products and services and resolving issues promptly and professionally.
• Maintain a friendly and approachable attitude in all customer interactions, ensuring that customers feel valued and respected.
• Monitor customer feedback and proactively address any concerns or complaints to ensure customer satisfaction.
• Demonstrate professionalism, empathy, and a positive attitude in all interactions with internal and external stakeholders.
Qualifications:
• Proven experience as an administrative assistant or similar role in the UAE.
• Proficiency in MS Office applications, including Word, Excel, and PowerPoint.
• Strong organizational skills with the ability to multitask and prioritize tasks effectively.
• Excellent communication and interpersonal skills, both verbal and written.
• Detail-oriented and capable of maintaining accuracy in data entry and record-keeping.
• Energetic, proactive, and quick learner with a willingness to take on new challenges.
• Familiarity with UAE administrative procedures and regulations is preferred.
• Bachelor's degree or equivalent qualification is an advantage.
