Overview: We are looking for a highly organized and detail-oriented individual to join our real estate company as an Admin and Compliance Staff. This role is crucial in ensuring smooth administrative operations while adhering to regulatory requirements in the real estate sector. The ideal candidate will be proficient in administrative tasks, have a keen eye for compliance details, and possess excellent communication skills.

Responsibilities:

Administrative Support:

  • Manage office operations including handling phone calls, emails, and correspondence.
  • Schedule appointments, meetings, and maintain calendars for senior management.
  • Coordinate travel arrangements and prepare expense reports as needed.
  • Maintain office supplies and equipment, and ensure the office is well-organized.

Compliance Oversight:

  • Stay updated on real estate laws, regulations, and compliance requirements.
  • Assist in drafting, reviewing, and updating compliance policies and procedures.
  • Conduct regular audits to ensure adherence to regulatory standards.
  • Prepare and submit necessary compliance reports to regulatory authorities.
  • Monitor changes in laws and regulations and communicate updates to relevant stakeholders.

Documentation and Record Keeping:

  • Maintain accurate records, files, and documentation both electronically and physically.
  • Ensure all contracts, agreements, and legal documents are properly filed and easily accessible.
  • Assist in preparing legal documents and contracts under the guidance of legal counsel.

Client and Stakeholder Interaction:

  • Act as a point of contact for clients, vendors, and regulatory authorities on administrative and compliance matters.
  • Provide excellent customer service and respond to inquiries in a timely manner.
  • Facilitate communication between internal departments to ensure smooth workflows.

Skills

Qualifications:

  • Proficiency in MS Office Suite (Word, Excel, Outlook) and familiarity with office equipment.
  • Ability to work independently and as part of a team, with a proactive approach to problem-solving.
  • Bachelor’s degree in Business Administration, Real Estate, Law, or a related field preferred.
