Office Coordinator/PA to directors

A dynamic and innovative design company is searching for a friendly and proactive coordinator to oversee the daily operations of their studio. The position is ideal for someone with experience in administration, facilities management, IT, and general team support. The ideal candidate will be in charge of the organisation and efficiency of daily office operations. From scheduling client meetings to preparing documents, you will be responsible for completing multi-level tasks in a professional and timely manner. Responsibilities • Guest Services Management - answering phones and email queries, greeting clients, keeping spaces tidy, manage meeting rooms, organising travel requirements, maintaining order office supplies etc. • Provide high-level administrative support to the senior management team, including managing calendars, scheduling meetings, and making travel arrangements. • General administrative staff support including onboarding/offboarding, expenses processing. • Manage and input into our CRM Monitoring software (Cmap). • Coordinate HR operations and maintain employee records in compliance with company policies. • Supervise the maintenance of office equipment and facilities. • Interact with IT, phone and building personnel support as needed.

Qualifications • Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.) • Excellent written and verbal communication skills • Friendly and Professional. • Ability to multi-task, organise, and prioritise work. • Proven experience as an office administrator, office assistant, or relevant role. • Bachelor's degree in HR, business administration or a related field is preferred. • InDesign understanding advantageous. • Experience in the creative field is a bonus.
