Currently, we are looking for a passionate and energetic Logistics Coordinator to be based in the Business Admin Team. In this role, the successful candidate will provide complete warehousing and distribution support to the customer by effectively processing all inbound and outbound operations within specified time frames thereby achieving profitability, ensuring high quality standards and customer satisfaction.

 

Key Responsibilities

 
  • Receive pre-alerts, documents from the customer for inbound shipments, upload (if applicable) and update Inbound PO with required information like BOE no., etc. and inform the Floor In charge in a timely manner.
  • Generate GRN, share with customer along with MDN and pictures (in case of any discrepancies i.e. Short/ Excess/ Damage) and closing of Inbound PO.
  • All relevant costs for inbound shipment to be updated in tracker/ WMS for final billing.
  • Ensure that inbound job file contains all the relevant documents, chargeable services and costs before forwarding the same to the Finance/ Team Leader/ Supervisor for final submission.
  • Upload (if applicable) and update Outbound Order with required information. Allocate Outbound Order, Generate pick list and handover to the Floor In charge.
  • Prepare Commercial Invoice, Packing List, Delivery Advice and HSCODE Summary for outbound shipments or Obtain invoice and packing list from the Customer (as per agreement with customer). Prepare Customs documentation where necessary and forward to Forwarding Agent / Customer / GSC team for processing.
  • Adhere to all inspections, certifications, legalizations and special processes for shipments destined for select locations e.g. COO/ SASO/ MOH/ DM/ MOE/ IECEE etc.
  • Continuously liaise with operations (AFRI/ AFRE/ OFRI/ OFRE/ RF), customer services and W&D as the case may be in order to regularly update the customer on the status of shipments and for the timely receipt of PODs.
  • Provide the customer with all the details regarding the dispatch of goods like airway bill number, estimated date of dispatch/ arrival etc. once the shipment has been dispatched from the warehouse.
  • All relevant costs for outbound shipment to be updated in tracker/ WMS for final billing.
  • Ensure that outbound job file contains all the relevant documents, chargeable services and costs before forwarding the same to the Finance/ Team Leader/ Supervisor for final submission.
  • Ensure timely closure and submission of job files to Finance for Billing.
  • Ensure that the Outbound Order are closed in the system after the shipment has been dispatched from the facility.
  • Prepare necessary reports on inbound & outbound status with relevant timestamps and any other reports as required by the Supervisor or customer.
  • Collect and submit Exit certificates to the CDZ team within the specified time limit.
  • Ensure assigned tasks (All Inbound/ outbound modes) are performed as per customer expectations and in line with agreed KPIs.
  • Attend daily PD with all updates required on daily basis.
  • Prioritize escalated matters and apply the right tools to ensure proper corrective actions and preventive actions are taken.
  • Ensure Excellent Customer Service is provided to customers assigned.
  • Constant reviewing of the assigned processes and initiates any improvement plan to reduce timelines, increase productivity, reduce wastage and eventually achieve a high level of customer’s satisfaction.
  • Ensure customers SWI’s are in place and updated on timely manner.
  • Ensure operations irregularities / failures are addressed to Team Leader/ Supervisor, escalated if necessary, to monitor the actions taken and improvement is achieved.
  • Maintain good working relationship with internal and external teams.
  • Ensure that all practices are in compliance with DHL policies and procedures so that business is handled efficiently.
 

Job Skills, Qualifications & Experience:

 
  • Basic Knowledge of UAE Customs and Free Zone Rules and Regulations.
  • 3-4 year experience in freight forwarding, supply chain, warehousing or distribution operations
  • Self- motivated, Innovative, Organized, Honest and has Initiative.
  • Good Time Management.
  • Good Communication Skills.
  • Problem Solving Skills.
  • Analytical Thinking.
  • Import/ Export Customs Documentation Knowledge.
  • Well versed with MS Office (Mandatory) and WMS (Preferred)
  • Diploma or Graduate in any discipline preferably Supply Chain/ Freight Forwarding
