Tender & Vendor Management Specialist

The Tender & Vendor Management Specialist is responsible for overseeing the entire tendering process and managing vendor relationships across the group of companies. This role involves preparing and evaluating tenders, negotiating contracts, and ensuring the company works with reliable and high-quality vendors. He/She will ensure compliance with company policies, regulations, and industry standards while striving for cost-effective procurement and efficient vendor management. Tender Management: • Develop and manage the tendering process from initial planning to final contract award. • Prepare comprehensive tender documents, including specifications, terms, and conditions. • Coordinate with internal stakeholders to ensure all requirements are captured in the tender documents. • Evaluate tender submissions, conduct bid analysis, and select the most suitable suppliers. • Lead tender negotiations to achieve favorable terms and conditions for the company. Vendor Management: • Identify, evaluate, and select vendors that meet the company’s quality, cost, and delivery requirements. • Establish and maintain strong, collaborative relationships with key vendors. • Conduct regular performance reviews and audits of vendors. • Resolve any issues or disputes with vendors promptly and effectively. • Work with vendors to drive continuous improvement in quality, delivery, and cost-efficiency. Contract Management: • Negotiate and manage contracts with vendors and service providers. • Ensure all contracts comply with legal and regulatory requirements. • Monitor contract performance to ensure compliance with terms and conditions. • Manage contract renewals, amendments, and terminations as needed. Risk Management and Compliance: • Identify and mitigate risks associated with tendering and vendor management activities. • Ensure compliance with company policies, industry standards, and legal requirements. • Develop and implement risk management strategies and contingency plans. Reporting and Analysis: • Prepare and present regular reports on tendering and vendor management activities to senior management. • Analyze data to identify trends, inefficiencies, and opportunities for improvement. • Provide insights and recommendations to support strategic decision-making. Team Leadership and Development: • Lead and manage a team of tendering and vendor management professionals. • Provide training, mentorship, and development opportunities to team members. • Foster a culture of continuous improvement, collaboration, and innovation within the team.

Minimum of 8 -10 years of experience in tendering and vendor management. Bachelor's degree in business administration, supply chain management, or a related field. • Strong knowledge of tendering processes and vendor management best practices. • Excellent negotiation and contract management skills. • Proficient in procurement software and Microsoft Office Suite. • Strong analytical and problem-solving abilities. • Excellent communication and interpersonal skills. • Knowledge of UAE procurement laws and regulations is an advantage.
