Job Purpose

  • Manage cost efficiency and the overall operational productivity of the company by ensuring the right materials are available at the right time and price.
  • Oversee the procurement process, ensuring that an organization acquires goods and services cost-effectively, timely, and efficiently.
  • Maintain quality standards, minimize supply chain risks, and optimize inventory levels to support production or service delivery.


Key Accountabilities (divided based on Balance Scorecard “BSC”)

Financial:

  • Maintain and monitor the purchasing budget, seeking opportunities to reduce procurement costs.
  • Secure competitive pricing and terms while maintaining quality.
  • Develop the yearly budget and ensure adherence to the approved budget and allocations.
  • Set appropriate control mechanisms to ensure budget compliance and take corrective measures when necessary.
  • Work closely with the finance team to ensure procurement aligns with budgetary constraints.

Customer/Quality:

Build and maintain strong relationships with suppliers and vendors, building relationships to ensure the company gets high-quality goods at the best possible prices.

  • Achieve high, sustained customer satisfaction by offering competitive prices, item quality, diversity, and availability.

Internal Business Process:

  • Develop and implement procurement strategies to optimize sourcing and cost efficiency.
  • Foster the quality of acquired items/ products through designing and implementing supplier high performance strategies
  • Manage supplier relationships, negotiate contracts, and ensure that materials are purchased at the most competitive rates while maintaining quality and timely delivery.
  • Negotiate with suppliers to secure the best possible pricing, payment terms, and delivery conditions, reducing costs without compromising quality.
  • Evaluate and monitor supplier performance through KPIs like quality, cost, and delivery.
  • Forecast demand and ensure timely procurement to avoid supply disruptions.
  • Coordinate with inventory and warehouse teams to manage stock levels efficiently.
  • Ensure that procurement activities adhere to company policies and legal standards.
  • Monitor supply chain risks, including supplier reliability, price volatility, and quality issues, and take proactive actions to mitigate them.
  • Ensure there are contingency plans in place to protect the company’s financial position in the event of supply chain disruptions.
  • Provide full support to receive all the permissions needed and legal clearance from relevant authorities.
  • Manage company data, information, contracts, insights, and market trends analysis and take corrective actions when needed.
  • Generate regular reports on purchasing activities, costs, and supplier performance.
  • Ensure all employees have set appropriate KPIs that align with the overall department targets, analyze performance achievements, take corrective actions whenever needed, provide positive feedback regarding team achievements, and ensure high motivation levels.
  • Perform any other relevant tasks assigned by the line manager.


Learning & Growth:

  • Analyze the market and research potential suppliers to identify cost-saving opportunities.
  • Provide insights and recommendations to improve procurement efficiency and cost-effectiveness.
  • Continuously look for opportunities to reduce procurement costs, whether through alternative suppliers, bulk purchasing, or long-term contracts.
  • Conduct market research to identify new opportunities and trends, and drive business growth.
  • Foster a culture of sustained innovation environment to encourage the team to develop new ideas that lead to a competitive advantage, further growth, and profitability.
  • Promote a continuous learning environment by offering opportunities, training, development, or coaching sessions for direct reports' career development.
  • Ensure the availability of experienced and competent employees who can support the business and operations to continue, run smoothly, and without interruption.
