Job Summary: The Tender Coordinator plays a crucial role in managing the tender process for pharmaceutical distribution. This position involves coordinating all aspects of tender submissions, ensuring compliance with regulations, and collaborating with internal teams to secure contracts that align with the company’s strategic goals.

Key Responsibilities:


Tender Management:

  • Oversee the preparation and submission of tenders and proposals in response to requests from healthcare institutions and government agencies.
  • Ensure that all submissions are compliant with regulatory requirements and company policies.

Collaboration:

  • Work closely with sales, marketing, and logistics teams to gather necessary information and resources for tender submissions.
  • Communicate with suppliers and partners to obtain pricing and product availability for tenders.

Market Research:

  • Conduct market analysis to identify upcoming tender opportunities and track competitors' activities.
  • Stay updated on industry trends, regulatory changes, and best practices related to pharmaceutical distribution.

Documentation and Record Keeping:

  • Maintain organized records of all tender documents, communications, and submissions.
  • Prepare and maintain a database of tender opportunities, deadlines, and outcomes.

Reporting:

  • Generate reports on tender submissions, success rates, and potential opportunities for management review.
  • Provide insights and recommendations based on tender performance analysis.

Compliance and Quality Assurance:

  • Ensure adherence to quality standards and regulatory requirements throughout the tender process.
  • Assist in audits and reviews related to tender submissions.

Skills

  • Bachelor’s degree in Business Administration, BS Accountancy, BS Commerce
  • Minimum 2 years of experience in tender coordination or related roles, preferably in the pharmaceutical or healthcare sector.
  • Strong understanding of pharmaceutical distribution and market dynamics.
  • Excellent organizational and project management skills.
  • Proficient in Microsoft Office Suite and tender management software.
  • Strong communication and interpersonal skills, with the ability to work collaboratively across teams.
  • Knowledge of regulatory requirements in the pharmaceutical industry.
  • Experience in negotiation and contract management.
