Position Overview:
We are seeking a competent and proactive Personal Secretary to provide administrative and secretarial support to the Chief Executive Officer (CEO). The ideal candidate will possess exceptional organizational skills, strong communication abilities, and the capability to manage tasks efficiently in a fast-paced environment. The Personal Secretary will act as a liaison between the CEO and internal/external stakeholders, ensuring smooth communication and coordination of activities.
Key Responsibilities:
- Executive Support:
- Provide comprehensive administrative support to the CEO, including managing schedules, arranging meetings, and handling correspondence.
- Coordinate travel arrangements and prepare travel itineraries, ensuring all arrangements align with the CEO's preferences and business needs.
- Manage the CEO's calendar efficiently, prioritizing appointments, meetings, and events to optimize time management.
- Communication Management:
- Act as the primary point of contact for internal and external stakeholders seeking access to the CEO, exercising discretion and professionalism in all interactions.
- Screen and prioritize incoming communications, including emails, phone calls, and messages, and respond or redirect as appropriate.
- Draft, proofread, and edit correspondence, presentations, reports, and other documents on behalf of the CEO, maintaining accuracy and confidentiality.
- Information Management:
- Organize and maintain the CEO's files, records, and documents, ensuring easy accessibility and confidentiality.
- Conduct research and compile information as requested by the CEO, providing comprehensive and accurate data for decision-making and strategic planning.
- Prepare briefing materials and presentations for meetings, ensuring the CEO is adequately informed and prepared for engagements.
- Office Management:
- Oversee the CEO's office operations, including maintaining office supplies, equipment, and facilities, to ensure a conducive working environment.
- Coordinate with relevant departments to facilitate the resolution of administrative issues and ensure seamless workflow within the organization.
- Handle confidential and sensitive information with discretion and integrity, maintaining the highest standards of confidentiality at all times.
Skills
Qualifications and Skills:
- Bachelor's degree in Business Administration, Secretarial Studies, or a related field.
- Proven experience as an Executive Assistant, Personal Secretary, or similar role.
- Proficiency in office management software (e.g., MS Office Suite, Google Workspace) and the ability to adapt to new tools and technologies.
- Excellent organizational skills, with the ability to prioritize tasks and manage multiple responsibilities effectively.
