· Management Systems Compliance: Oversee the representation and management of QHSE and sustainability by planning, developing, implementing, and maintaining management systems in compliance with client expectations, authority regulations, and ISO standards (ISO 9001, ISO 14001, ISO 45001, GFSI, ISO 22000, HACCP, ISO 27001).
· Sustainable Development Support: Develop, advise, and support the company's sustainable development initiatives, ensuring that strategy, policy, and processes are consistently implemented across all business units.
· Compliance Reporting: Report the status of the company's compliance activities, potential risks, and serious violations to management through monthly QHSE/QA Management Information System (MIS) reports.
· Procedural Guidance: Support managers in establishing procedures that meet the requirements of the Integrated Management System (IMS) and sustainability objectives.
· Operational Performance Monitoring: Develop and maintain internal trackers and checklists to monitor QHSE & QA activities, ensuring diligent follow-ups with respective teams.
· Training and Development: Oversee the training and development of QHSE/QA team members, providing regular feedback and guidance, and managing the annual training calendar for all mandatory, technical, and competency-based training programs.
· Dashboard Management: Manage the monthly QHSE/QA dashboard completion and ensure timely submissions to authorities and customers.
· Certification Renewal: Handle the renewal process for ISO certifications and lead preparations for customer, authority audits, and inspections.
· Site Inspections and Audits: Conduct regular site visits and inspections, reviewing operational controls, safety measures, and deliver training sessions. Coordinate and participate in QHSE training, audit, and inspection programs.
· Safety and Compliance Inspections: Perform monthly safety and chemical management inspections, report findings, and enforce waste management protocols.
· Equipment Calibration: Coordinate the calibration of thermometers and other monitoring equipment.
· Supplier Management: Supervise procurement processes, ensuring quality and adherence to the code of conduct, perform supplier evaluations, and verify supplier compliance with licensing and training requirements.
· Documentation and Policy Management: Maintain accurate documentation for all QHSE/QA-related procedures and ensure annual policy sign-offs by executive management. Advise management on defining QHSE policies, plans, and objectives, and ensure full adherence to QHSE policies.
· Food Safety Management: Oversee food safety management, pest control, cleaning verification, and adherence to housekeeping and sanitation practices. Conduct mock recalls and ensure equipment calibration across the organization.
· Incident Management: Initiate and coordinate investigations to establish root causes of incidents and ensure implementation of corrective and preventive actions.
· Risk Management: Regularly review risk and compliance registers, manage risks and opportunities for operations, and develop and implement QHSE improvement plans and programs.
· Culture and Employee Engagement: Promote a QHSE culture among employees, improve participation in QHSE management, and support HR in employee engagement initiatives.
· Emergency Preparedness: Ensure emergency preparedness, disaster recovery plans, and response plans are developed and implemented.
· Performance Management: Analyze, review, and report to Top Management on QHSE and sustainability indicators and trends. Establish and manage QHSE KPIs and employee performance review processes.
· Communication and Coordination: Maintain effective communication and coordination between clients, authorities, operations managers, and other interested parties.
· Continuous Improvement: Continuously assess and improve QHSE policies and procedures, fostering teamwork and respect within the department.
· Record Keeping: Maintain sufficient records, logs, trackers, reconciliations, and dashboards, and devise periodic QHSE compliance and exception reports for management review.
Training Program Management: Be responsible for cost-effective internal QHSE training programs.
