Office Administrator and Personal Assistant (PA)

We are seeking a reliable and proactive Office Administrator and Personal Assistant (PA) to support our team and ensure the smooth day-to-day running of our office. This dual role will involve both administrative management of office operations and dedicated assistance to our executive team. The ideal candidate is a highly organized, detail-oriented professional who thrives in a dynamic environment, with the ability to multitask and maintain discretion when handling sensitive information.


Key Responsibilities


1. Office Administration:

Manage office operations, including ordering supplies, coordinating with vendors, and overseeing general office maintenance.

Serve as the primary point of contact for office visitors, answering phones, and managing correspondence.

Organize and maintain company files, records, and documentation, both physically and digitally.

Handle data entry, prepare reports, and assist with basic financial tasks such as invoice processing and expense tracking.

Coordinate company events, meetings, and other team activities.


2. Personal Assistant (PA) to Executives:

Manage executive calendars, scheduling appointments, meetings, and coordinating travel itineraries.

Serve as a liaison between executives and internal teams or external contacts, ensuring smooth communication.

Prepare meeting agendas, take minutes, and assist in follow-up actions as required.

Conduct research, prepare presentations, and handle confidential tasks and documentation as needed.

Assist executives with personal tasks and errands on an as-needed basis.


Qualifications

Experience: preferred 2+ years of experience in office administration, executive assistance, or a similar role. Freshers can also apply.

Education: Bachelor's degree or equivalent experience preferred.


Skills

Skills:

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with calendar and scheduling tools.

Excellent organizational, multitasking, and time-management skills.

Strong verbal and written communication skills.

Discretion and ability to handle confidential information professionally.

Positive attitude, initiative, and ability to work independently.
