Due to continued success, we are opening a new office in Dubai and looking for a Personal Assistant.


Key Responsibilities

  • Deliver high-level operational and administrative support to C-level executives, ensuring their daily activities and responsibilities are handled with precision.
  • Manage complex calendars, including scheduling and coordinating meetings across multiple time zones.
  • Organize international and domestic travel logistics, such as flights, accommodations, and ground transportation, while ensuring compliance with corporate travel policies.
  • Facilitate the procurement and processing of travel visas and other necessary documentation.
  • Plan and oversee client dinners, corporate gatherings, and other high-profile events, ensuring all details are executed flawlessly.
  • Build and nurture relationships with vendors, service providers, and external partners to support the operational and administrative needs of the executive team.
  • Negotiate contracts, monitor service quality, and ensure timely delivery of goods and services.
  • Act as the primary liaison between C-level executives and both internal teams and external stakeholders, maintaining clear communication channels.
  • Collaborate with a global team of assistants to ensure consistent standards, share best practices, and enhance operational efficiency.
  • Facilitate seamless communication across teams to support effective decision-making by the executive team.


Qualifications and Skills

  • Demonstrated experience providing support to C-level executives in a fast-paced, dynamic environment.
  • Exceptional organizational and time-management abilities with a proven ability to prioritize and multitask effectively.
  • Strong communication and interpersonal skills, with a culturally aware and globally sensitive approach.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) with advanced technical skills.
  • High level of discretion and professionalism in managing confidential and sensitive information.
  • Proactive problem-solving skills with the ability to adapt quickly to changing priorities and demands.
  • Experience in coordinating travel arrangements, event planning, and visa processing.
  • Familiarity with private equity, finance, or related industries is preferred.
  • Prior experience working with global teams and coordinating across international offices.
  • Knowledge of additional languages, especially German, is an advantage.
