Job Title: Assistant

Reporting to: EA to CEO
Due to continued success, we are opening a new office in Dubai and looking for a Personal Assistant.
Key Responsibilities
- Deliver high-level operational and administrative support to C-level executives, ensuring their daily activities and responsibilities are handled with precision.
- Manage complex calendars, including scheduling and coordinating meetings across multiple time zones.
- Organize international and domestic travel logistics, such as flights, accommodations, and ground transportation, while ensuring compliance with corporate travel policies.
- Facilitate the procurement and processing of travel visas and other necessary documentation.
- Plan and oversee client dinners, corporate gatherings, and other high-profile events, ensuring all details are executed flawlessly.
- Build and nurture relationships with vendors, service providers, and external partners to support the operational and administrative needs of the executive team.
- Negotiate contracts, monitor service quality, and ensure timely delivery of goods and services.
- Act as the primary liaison between C-level executives and both internal teams and external stakeholders, maintaining clear communication channels.
- Collaborate with a global team of assistants to ensure consistent standards, share best practices, and enhance operational efficiency.
- Facilitate seamless communication across teams to support effective decision-making by the executive team.
Qualifications and Skills
- Demonstrated experience providing support to C-level executives in a fast-paced, dynamic environment.
- Exceptional organizational and time-management abilities with a proven ability to prioritize and multitask effectively.
- Strong communication and interpersonal skills, with a culturally aware and globally sensitive approach.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) with advanced technical skills.
- High level of discretion and professionalism in managing confidential and sensitive information.
- Proactive problem-solving skills with the ability to adapt quickly to changing priorities and demands.
- Experience in coordinating travel arrangements, event planning, and visa processing.
- Familiarity with private equity, finance, or related industries is preferred.
- Prior experience working with global teams and coordinating across international offices.
- Knowledge of additional languages, especially German, is an advantage.
