Executive Assistant

Messe Frankfurt Middle East is looking for a highly organized, proactive, and professional individual with a passion for supporting executive leadership. We are seeking an Executive Assistant to the CEO, CFO, and CCO to provide top-notch administrative, organizational, and logistical support to our Executive Board.


In this pivotal role, you’ll ensure smooth day-to-day operations for the leadership team by managing diaries, coordinating travel, preparing correspondence, organizing meetings, and much more. You’ll act as the key liaison for both internal and external stakeholders, representing the professionalism and values of our executive team.


Key Responsibilities

  • Diary Management: Efficiently manage and maintain the CEO’s calendar, ensuring priorities are met and commitments are handled seamlessly.
  • Travel Coordination: Plan and organize travel and accommodation, ensuring a smooth experience with detailed itineraries and meeting schedules according to tight and complex schedules.
  • Administrative Support: Prepare correspondence, meeting agendas, reports, and research as needed. Maintain accurate records and filing systems.
  • Meeting Organization: Schedule and coordinate meetings, ensuring the CEO is fully prepared for all engagements. Attend and take minutes for meetings when required, ensuring attention to detail, preparing meeting rooms ahead of time.
  • Stakeholder Communication: Act as the first point of contact for internal and external stakeholders, filtering information and queries.
  • Confidentiality: Maintain discretion and confidentiality in all aspects of the role, handling sensitive information with integrity.


What We’re Looking For


Education:

  • Bachelor’s degree in Administration or a related field (essential).


Experience:

  • 5+ years of experience in executive assistant role.
  • Proven track record of supporting C-suite executives in a high-pressure environment.
  • Demonstrable expertise in diary management, travel coordination, and working with senior stakeholders.

  • Exceptional organizational skills and attention to detail.
  • Strong communication skills, with the ability to interact confidently and professionally at all levels.
  • Ability to multitask, prioritize, and handle tight deadlines with resilience.
  • High ethical standards, discretion, and trustworthiness.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) with expertise in Outlook.
