Our client is looking to hire an Executive Assistant for their office in Dubai
The ideal candidate will be responsible for providing secretarial support to the leadership individual, overseeing major aspects of the management, and ensure continued guidance of the business and office.
You will work on vast deliverables from calendar management, travel arrangements and correspondences. Schedule all internal and external team meetings and take minutes, ensuring proper documentation.
Responsibilities:
- Coordinate and manage the executive’s calendar, including scheduling meetings, appointments, and travel.
- Organize meetings, including booking conference rooms, preparing agendas, and ensuring follow-ups.
- Serve as the primary point of contact for internal and external communications.
- Handle phone calls, emails, and other correspondence, ensuring that important matters are flagged and dealt with promptly.
- Arrange travel, including flights, accommodations, and itineraries for both domestic and international trips.
- Coordinate and plan meetings, conferences, and events, including booking venues, preparing materials, and liaising with vendors or guests.
- Organize, manage, and maintain files, records, and other confidential documents.
- Perform other administrative tasks as needed, including personal errands for executives, supporting the HR department, or helping with special requests.
- Ensure the executive’s office and workspace are well-organized and functional.
Desired Experience
- 3+ years' experience as an Executive Assistant in a dynamic environment.
- Proven business support experience in the UAE.
- Presentable and professional conduct in managing daily confidential work with discretion with diplomacy.
- Very organized with the ability to maintain balance between multiple priorities
- Firm and personable personality with the ability to build relationships with stakeholders, including staff, board members, external partners/vendors
- Proactive approach to problems and providing solutions efficiently and effectively
- Fluency in English, with excellent writing skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong attention to detail and time management skills.
