Personal Assistant to Division President

Key Responsibilities


  • Manage calendars, appointments, travel, and correspondence for senior executives.
  • Prepare documents and reports for meetings.
  • Serve as the main point of contact between the executive and internal/external stakeholders.
  • Draft and manage business communications.
  • Organize meetings, take minutes, track action items, and coordinate company events and conferences.
  • Maintain filing systems, track budgets, process expenses, and manage office supplies.
  • Handle sensitive information with discretion and ensure confidentiality in all matters.
  • Assist with project coordination, tracking progress, and conducting research for reports and presentations.
  • Facilitate communication across teams, ensure smooth office operations, and support day-to-day administrative functions.

Required Skills:

  • Strong communication and interpersonal skills.
  • Exceptional organizational skills and attention to detail.
  • Proficient in office software (Microsoft Office, Google Suite, etc.).
  • Ability to handle multiple tasks, prioritize effectively, and meet deadlines.
  • Professional demeanor, with the ability to manage sensitive and confidential information.

Experience:

  • 5+ years of experience as an Executive Assistant or PA, particularly in large or multinational EPC contracting companies.
  • Experience managing senior executives’ schedules and operations.
