We are seeking a highly organized and proactive Executive Assistant (Office Manager) to oversee daily office operations and provide administrative support.
In this role, you will be responsible for managing office activities, coordinating schedules, handling correspondence, and ensuring smooth office operations.
A successful Executive Assistant (Office Manager), should have strong organizational skills, excellent communication abilities, and the ability to handle multiple tasks efficiently.
Responsibilities:
- Managing office operations and performing administrative tasks as required.
- Handling correspondence, including emails, phone calls, and official documents.
- Organizing and maintaining office records, contracts, and confidential files.
- Scheduling and coordinating meetings, appointments, and travel arrangements.
- Liaising with internal teams, clients, and external partners.
- Preparing reports, presentations, and other business documents.
- Monitoring office supplies and ensuring timely procurement.
- Assisting with office expenses, invoices, and basic bookkeeping tasks.
- Supporting HR tasks such as employee records, on boarding, and documentation.
- Ensuring the office environment is well-maintained and operates smoothly.
Skills
- High School Diploma or GED
- 1-3 years of experience in an administrative or office management role.
- Strong organizational, time management, and multitasking skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and office management software.
- Excellent written and verbal communication skills in English (Russian is a plus).
- Strong attention to detail and ability to handle confidential information with discretion.
- Ability to work independently and collaborate with teams efficiently.
- Familiarity with office equipment such as printers, scanners, and fax machines.
