Job Position : ADMINISTRATIVE ASSISTANT
General Office Management & Administration:
- Manage and maintain office calendars, schedule appointments, and coordinate internal and external meetings, including conference room bookings.
- Plan and manage office space, including workstation allocation and conference room setup.
- Oversee the maintenance and repair of office equipment.
- Implement and monitor office safety procedures, including fire protection and access control.
- Manage the reception area, greet visitors (including interview candidates and government personnel), and handle inquiries.
- Coordinate office searches and relocations as needed.
- Manage incoming and outgoing correspondence (email, mail, deliveries).
- Maintain and organize filing systems, both physical and electronic.
- Order, stock, and manage office supplies and office equipment.
- Procure office supplies and manage vendor relationships.
- Manage the inventory of fixed assets.
- Handle express delivery and collection services.
- Process and track payments for office utilities (water, electricity, internet), property fees, and other related expenses.
- Ensure the cleanliness and organization of the office environment.
- Assist with the onboarding process for new employees.
- Manage the process of company license renewal and related administrative tasks.
Employee Support & Administration:
- Manage employee rosters and schedules.
- Prepare and manage employee attendance sheets.
- Provide travel support, including booking accommodations and transportation.
- Manage employee holiday requests and track holiday benefits.
- Assist employees with travel arrangements and the preparation of expense reports.
- Support employee engagement activities such as team-building events and holiday celebrations.
Data Management & Reporting:
- Maintain accurate records and databases.
- Enter and update information in various company systems.
- Generate reports and summaries as needed.
Project Support:
- Assist with special projects and company events.
- Conduct research and gather information to support administrative tasks and projects.
- Prepare and distribute project-related materials.
Other Duties:
- Perform other administrative duties as assigned to ensure the efficient operation of the office.

Skills
Preferred Qualifications:
- Should have Bachelor's degree
- 2 years of experience in an administrative support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills.
- Ability to prioritize tasks and meet deadlines.
- Attention to detail and accuracy.
