Assistant Administrator

Key Responsibilities:

  • Manage and maintain administrative systems, processes, and policies across departments.
  • Oversee documentation, filing systems, and ensure the confidentiality and security of data.
  • Coordinate schedules, meetings, and appointments for management and operations teams.
  • Assist in procurement and inventory control for office and operational supplies.
  • Prepare reports, letters, memos, and documentation as required by the management.
  • Monitor and track expenses related to administrative functions and submit timely reports.
  • Maintain updated records of employees, suppliers, and service providers.
  • Handle internal communication and act as a bridge between departments for operational updates.
  • Support HR and finance teams with onboarding documentation, leave tracking, and payroll inputs.
  • Liaise with external service providers for maintenance, licenses, utilities, and compliance documentation.
  • Maintain and update operational SOPs and ensure staff compliance with organizational policies.
  • Support logistics and scheduling of company assets including mobile EV chargers, service vehicles, and drivers.


Skills

Skills and Qualifications:

  • Bachelor’s degree in Business Administration, Management, or related field.
  • Minimum 3 years of experience in administrative or office management roles.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication in English (Arabic is a plus).
  • Proficient in MS Office (Word, Excel, PowerPoint) and general tech-savviness.
  • Knowledge of basic finance or HR processes is an advantage.
  • Strong interpersonal skills and ability to work with diverse teams.
  • Discretion, reliability, and attention to detail are essential.
