The Store Keeper cum Accounts Executive is a pivotal dual-role position responsible for the efficient physical management, storage, and handling of FMCG inventory, combined with the accurate and timely maintenance of core financial records . This role ensures complete and continuous synchronization between physical stock movement and its corresponding documentation in the accounting system.
Key Responsibilities
A. Store Keeping & Inventory Management (Operational)
Goods Receiving: Oversee the receipt of all incoming goods. Verify physical quantities and quality against Purchase Orders (POs) and delivery notes. Generate and record accurate Goods Receipt Notes (GRNs) promptly.
Stock Organization: Ensure all stock is stored safely, securely, and in an orderly manner. Strictly enforce the FIFO (First-In, First-Out) principle to minimize expiry and spoilage of FMCG products.
Dispatch & Fulfillment: Manage the picking and packing process for outgoing sales orders. Generate and verify Delivery Challans (DCs) and dispatch documents, ensuring accuracy before goods leave the premises.
Stock Control & Reconciliation: Conduct regular (daily/weekly) physical inventory counts and reconcile any discrepancies (shortages, damages, surpluses) with the system inventory records, reporting variances immediately.
Returns Management: Handle and document physical customer and vendor returns, ensuring they are separated, inspected, and processed systemically and with full integrity.
B. Accounts & Financial Administration (Accounts)
Invoicing & Billing: Prepare and issue all outgoing Sales Invoices, Credit Notes, and Debit Notes accurately and promptly, ensuring they are matched with signed Delivery Challans.
Data Entry: Enter all purchases, sales, expenses, and banking transactions accurately into the company's designated accounting software (e.g., Tally, SAP B1).
Accounts Receivable (AR): Monitor the aging of customer outstanding balances, reconcile customer ledgers, and assist the sales team with payment follow-up documentation.
Cash and Bank: Manage petty cash transactions and documentation. Prepare daily bank deposit slips and perform routine bank reconciliation statements.
Documentation & Filing: Maintain a complete, systematic, and auditable physical and digital filing system for all GRNs, Invoices, Payment Vouchers, and bank statements.
Required Qualifications and Skills
Education: Bachelor’s degree in Commerce (B.Com), Accounting, or a related field.
Experience: Proven experience (2+ years) in a storekeeper/inventory control role, combined with basic accounting/bookkeeping experience, preferably within the FMCG or distribution sector.
Technical Skills:
Proficiency in accounting software (e.g., Tally ERP, QuickBooks, SAP B1).
Strong command of MS Office, particularly MS Excel for inventory tracking and reporting.
