In This Role, Your Responsibilities Will Be:
Travel & Logistics Coordination
- Coordinate end-to-end travel arrangements for leadership, employees, customers, and visitors, including flights, accommodation, visas, airport transfers, and ground transportation.
- Verify passport validity and ensure visa applications comply with destination country requirements.
- Arrange VIP travel services such as Meet & Greet and airport assistance as required.
- Ensure all necessary approvals are obtained prior to processing travel and logistics requests.
- Provide administrative and logistical support for leadership meetings, customer visits, Factory Acceptance Tests (FAT), and internal events.
Coordinate meeting logistics including venue booking, catering, audio-visual setup, gate passes, and giveaways.
Office Administration & Financial Support
- Manage office administration activities including meeting room bookings, office supplies, pantry requirements, and facility coordination.
- Maintain and manage system access and records across internal platforms (e.g., Oracle, Esker, vendor management systems).
- Raise purchase requisitions, purchase orders, and support invoice processing and approvals in line with company policies.
- Manage company credit card expenses and ensure timely submission and approval of expenses.
- Coordinate courier services and document dispatch.
Liaise with vendors and service providers to ensure timely delivery of services and settlement of payments where required.
Events Support
- Support Business Unit and employee engagement initiatives, including internal events and team activities.

For This Role, You Will Need:
- Experience in office administration, office coordination, or a similar support role
- Strong organizational and time‑management skills with high attention to detail
- Effective written and verbal communication skills
- Proficiency in Microsoft Office tools (Word, Excel, PowerPoint, Outlook)
- Ability to manage multiple tasks simultaneously and prioritize effectively
- Strong interpersonal skills and a professional, service‑oriented approach
- Ability to work both independently and collaboratively
- Basic knowledge of office procedures and administrative systems
- Experience working with vendors, invoices, purchase requisitions, or office supplies
- A relevant diploma, associate degree, or equivalent education in business administration, office management, or a related field
