- Manage all incoming and outgoing correspondence for the Director’s Office, including receiving, registering, sorting, and distributing incoming mail, as well as preparing and documenting outgoing correspondence in a timely and organized manner.
- Prepare, format, and process official letters, memos, reports, presentations, and other administrative documents with a high level of accuracy and professionalism.
- Organize, maintain, and archive internal reports and documents received from various sections, present them to the Director, and follow up on decisions and actions to ensure proper documentation and tracking.
- Coordinate and manage the Director’s schedule, including arranging meetings, appointments, and official visits, and ensuring effective time management and prioritization.
- Receive and welcome visitors and clients, arrange meetings with the Director as appropriate, and ensure a professional and organized front-office environment.
- Coordinate meeting logistics, including preparing meeting rooms, ensuring the availability of required equipment and materials, recording meeting minutes, documenting outcomes, and following up on action items and decisions.
- Ensure confidentiality of sensitive information and documents handled within the Director’s Office in accordance with Dubai Municipality’s information security and confidentiality policies.
- Provide general administrative support and perform other related duties as assigned by the Director in line with the nature of the role.
Qualification and Work Experience:
- Diploma in related field (No experience required), or
- High School Certificate with 3 to 6 years of relevant work experience
