Roles & Responsibilities
Job Purpose
To provide administrative and operational support to the Projects Department by acting as the primary liaison between the Project Managers, factory departments, procurement, planning, and logistics. The role ensures timely coordination of project-related activities, follows up on production progress, maintains project documentation, and provides regular updates to Project Managers, allowing them to focus on site execution and client coordination.
Key Responsibilities
Project Coordination
Act as the main internal point of contact between Project Managers and factory departments.
Follow up with Planning, Production, Procurement, Stores, QC, and Logistics regarding project status.
Provide regular progress updates to Project Managers.
Assist in tracking project schedules and production milestones.
Escalate delays or concerns affecting project delivery.
Documentation & Administration
Prepare and maintain project documentation, trackers, and reports.
Assist with material request follow-ups and internal documentation.
Coordinate drawing submissions and revisions with relevant departments.
Maintain organized project files and records.
Prepare meeting minutes and follow up on action items where required.
Internal Coordination
Coordinate with factory departments to obtain updates on manufacturing progress.
Monitor outstanding internal actions and ensure timely completion.
Liaise with Procurement regarding material availability.
Coordinate with Logistics regarding delivery schedules.
Support Project Managers in resolving day-to-day operational issues.
Reporting
Prepare daily and weekly project status reports.
Maintain project dashboards and progress trackers.
Highlight overdue activities and potential risks.
Desired Candidate Profile
2-5 years of experience in Project Coordination, Project Administration, or Project Support.
Experience within furniture manufacturing, joinery, fit-out, interiors, or construction is preferred.
