We are seeking an exceptionally organized, empathetic, and strategic Practice Manager to oversee the complete operational, administrative, and clinical success of our veterinary clinic. The ideal candidate is a Senior Veterinarian who wishes to transition into practice leadership—splitting time across clinic operations, team leadership, and clinical practice. However, we also strongly encourage applications from Non-Veterinary Practice Managers with an extensive, proven track record of managing high-performing veterinary clinics or animal hospitals.
In this pivotal role, you will be the driving force behind our clinic’s day-to-day excellence, client satisfaction, financial health, and team culture.
Key Responsibilities
1. Practice Operations & Administration Oversee all daily clinic operations, ensuring seamless workflows across front desk, consultation, surgical, and post-care departments. Establish, standardize, and enforce Standard Operating Procedures (SOPs) for medical records, inventory management, billing, and safety protocols. Manage vendor relationships, inventory control, and pharmaceutical purchasing to minimize waste and optimize profitability. Oversee clinic compliance with local veterinary regulations, radiation safety, controlled substance logs, and health and safety standards.
2. Team Leadership & HR Management Recruit, onboard, train, and mentor veterinary nurses, receptionists, support staff, and associate vets. Foster a positive, collaborative, and inclusive workplace culture centered around high medical standards and employee well-being. Manage staff scheduling, performance reviews, dispute resolution, payroll administration, and continuous professional development (CPD) plans.
3. Client Experience & Community Relationships Drive exceptional client satisfaction by ensuring every client and pet receives compassionate, transparent, and prompt care. Handle complex client feedback, elevated inquiries, or medical concerns with empathy and professionalism. Implement client retention strategies, wellness plans, and local community outreach initiatives.
4. Financial & Strategic Growth Work with leadership to set and achieve monthly and annual revenue, margin, and growth targets. Monitor key performance indicators (KPIs) including client acquisition, retention and satisfaction.
5. Clinical Practice (Applicable if candidate is a licensed Vet) Provide high-quality clinical consultation, diagnostic workups, and surgical procedures during designated clinical hours. Lead by example in medical excellence, surgical protocols, and medical documentation standards. Mentor junior veterinarians on case management and client communication.
Required Qualifications & Skills
Experience: 10+ years of experience in a leadership role within a veterinary clinic or animal hospital. Veterinary License (Option A): MoCCAE Licensed Senior Veterinarian with a strong background in small animal medicine and experience with clinic management. Management Credentials (Option B): Non-veterinary candidate with extensive management experience running a veterinary practice. Leadership: Proven ability to build, train, and retain high-performing, multi-disciplinary teams. Business Acumen: Strong understanding of veterinary practice management software, financial reports (P&L), and inventory management systems. Communication: Exceptional verbal and written communication skills with strong emotional intelligence.
