Executive Assistant to Chief Executive Officer

Position Summary:

The Executive Assistant to the CEO provides high-level administrative support, ensuring smooth operations and effective communication between the CEO and other stakeholders. This role involves handling confidential information, managing schedules, coordinating travel, and preparing reports, making it vital for the assistant to be proactive, detail-oriented, and efficient.


Key Responsibilities:

1. Manage and maintain the CEO's schedule, ensuring optimal time management.

2. Coordinate meetings, including preparation of agendas and follow-ups.

3. Handle sensitive and confidential information with discretion.

4. Arrange domestic and international travel, including flights, accommodations, and itineraries.

5. Act as a liaison between the CEO and internal/external stakeholders.

6. Prepare presentations, summaries, and reports for the CEO.

7. Monitor and manage emails, responding on behalf of the CEO when appropriate.

8. Assist in organizing events, conferences, and board meetings.

9. Proactively manage CEO's committees and regular meetings, including scheduling, preparation, and follow-up on action items.

10. Prepare CEO communications with key stakeholders.

11. Conduct research and provide summaries to support decision-making.

12. Handle special projects as assigned by the CEO.


Skills and Qualifications:

- Bachelor's degree or equivalent experience.

- Minimum of 5 years of experience as an executive assistant, preferably in a similar industry.

- Exceptional organizational and time-management skills.

- Proficiency in Microsoft Office Suite and other relevant software.

- Excellent written and verbal communication skills.

- Strong problem-solving skills and attention to detail.

- Ability to handle multiple tasks and work under pressure.

- High level of discretion and professionalism.

- Familiarity with travel coordination and event planning.
