Role Summary: Executive Virtual Operations Assistant
A key role in managing and optimizing operations for a growing luxury holiday home brand. Collaborate with the executive team to streamline processes, enhance guest experiences, and support expansion.
Key Responsibilities
Phase 1:
- Bookings & Operations: Manage check-ins, check-outs, cleanings, and DTCM registrations.
- Financial Tasks: Oversee expenses, process payments, and create monthly reports.
- Systems Development: Build SOPs, templates, and back-end systems for efficiency.
- Maintenance & Supplies: Coordinate repairs, monitor property conditions, and restock essentials.
- Admin Support: Assist the executive team with troubleshooting and projects.
Phase 2:
- Guest Services: Handle inquiries and manage lifestyle requests (e.g., car rentals, tours).
- Team Growth: Recruit, onboard, and train new VAs.
- Data Insights: Analyze KPIs and performance metrics to drive improvements.
- Strategic Support: Collaborate on high-level initiatives with the executive team.
Skills
Qualifications
- Essential:Minimum 3+ years of experience in holiday home management or a related field. Please note: Applications from candidates with less than the required experience will not be considered.
- Leadership and operational expertise.
- Proficient in Airbnb, PMS platforms (e.g., Guesty, Hostaway), QuickBooks, and Excel/Google Sheets.
- Strong communication skills (fluent in English).
- Flexible to work 40 hours/week and handle occasional urgent weekend tasks.
Preferred:
- Dubai holiday home experience and familiarity with local regulations.
- Expertise in performance tracking and Airbnb optimization.
- Knowledge of tools like Notion, Canva, and Pricelabs.
