Job description

·Develop policies, procedures, and regulations related to the Central Archives Department, in accordance with best practices and government legislation, to ensure the efficiency and effectiveness of the Digitization Department.


·Participate in the preparation and development of the Dubai Government’s archives management strategy, prepare operational plans related to the division, and ensure their alignment with the Public Library’s guidelines.


·Oversee the receipt of paper and digital documents from government agencies, in coordination with the Government Archives Organization Section and the Electronic Archives Management Section, in accordance with approved transfer schedules and procedures.


·Oversee the preservation of electronically or physically accessible documents, as well as audio and visual records, in approved repositories, in coordination with the Government Archives Organization Section; and oversee the preservation of digital records, including those resulting from digitization processes, in coordination with the Electronic Records Management Section and the Digitization Section, to ensure the integrity of the preservation process.


·Oversee the organization of document storage locations in accordance with approved classification plans, manage the intake and removal of documents, and ensure they are recorded in the approved system.


·Oversee the periodic inventory of paper, audio, visual, and digital documents in the Central Archives and carry out disposal procedures, in coordination with the Archives Organization Section.


·Oversee the review of the indexing, classification, and cataloging of documents held in the central archive, and prepare detailed lists of these documents in accordance with the library’s approved standards and policies.


·Oversee the preparation of documents and archived files for use in library activities, for scanning, or to fulfill researchers’ requests, in accordance with approved access policies.


·Oversee the implementation of preservation standards within storage facilities, including the organization of shelves and the control of temperature, humidity, air quality, and lighting, to ensure the minimization of physical, chemical, and environmental degradation factors.


·Oversee the ongoing monitoring of archived materials, document their physical and digital condition, identify any changes that may require treatment or restoration, and refer cases to the appropriate department as needed.


·Participate in the development of archiving and retrieval systems, and improve the efficiency of warehouse management and digital archiving, in coordination with the relevant technical departments.


·Any other duties or responsibilities related to the nature of the department’s work that are assigned by the immediate supervisor.


Academic Qualifications and Years of Experience:


Bachelor’s degree (11 years) / Master’s degree (9 years) of experience in a related field.


Major: Archival Science, Records Management, Library and Information Science, Knowledge Management, Public Administration, or a related field.
