We are looking for a reliable healthcare administration professional who can support patients while coordinating essential reception and administrative activities. The Role We are seeking an experienced Clinic Receptionist / Patient Care professional to manage patient inquiries, appointments, reception support, records, and general administrative coordination. The ideal candidate is compassionate, organized, and confident when communicating with patients, families, healthcare professionals, and internal teams. Key Responsibilities Welcome patients and provide professional, courteous, and compassionate reception support. Manage appointment bookings, confirmations, cancellations, rescheduling, and follow-up communications. Respond to patient inquiries by phone, email, messaging platforms, or approved communication channels. Verify patient registration details, appointment information, insurance documentation, and required administrative records. Maintain accurate patient profiles, appointment records, contact details, and administrative documentation. Coordinate patient schedules with physicians, nurses, therapists, specialists, and other healthcare professionals. Provide patients with accurate information regarding clinic services, appointment procedures, operating hours, and administrative requirements. Assist with patient check-in and check-out procedures and coordinate waiting-room flow. Handle patient concerns, complaints, and service issues professionally while escalating clinical matters to qualified healthcare personnel. Support billing, payment collection, invoices, insurance documentation, and administrative follow-up where applicable. Coordinate referrals, medical appointments, follow-ups, reports, and other non-clinical administrative requirements. Maintain strict confidentiality of patient information and follow applicable privacy and data-protection requirements. Use clinic management systems, electronic health-record platforms, CRM tools, scheduling software, and digital communication systems. Prepare daily appointment lists, administrative reports, patient-service summaries, and other operational documentation. Coordinate with pharmacy, laboratory, insurance providers, external clinics, and other approved parties when required. Monitor patient feedback and identify opportunities to improve reception processes and overall patient experience. Follow clinic policies, infection-control procedures, workplace safety requirements, and professional service standards. Requirements Bachelor’s degree or equivalent qualification in Healthcare Administration, Business Administration, Hospitality, Customer Service, or a related field is preferred.3+ years of professional experience in clinic reception, patient services, healthcare administration, medical reception, or a similar role is preferred. Strong understanding of appointment scheduling, patient registration, reception procedures, and healthcare administration. Excellent spoken and written English with a professional and empathetic communication style. Strong customer-service, interpersonal, organizational, and problem-solving skills. Ability to communicate calmly and respectfully with patients and families, including during stressful situations. Strong attention to detail when handling patient records and administrative information. Experience with clinic-management systems, EHR/EMR platforms, appointment software, CRM tools, or healthcare databases. Strong computer literacy and confidence using email, spreadsheets, digital scheduling, and communication platforms. High level of confidentiality, discretion, integrity, and professional judgment. Ability to coordinate effectively with healthcare professionals and administrative teams. Knowledge of UAE healthcare administration, insurance processes, or patient-service practices is advantageous. Healthcare administration, medical reception, patient-care, or customer-service certifications are advantageous but not required.
