Job Details

Role Description We are seeking an organized, adaptable, and proactive Operations Assistant / Operations Coordinator / Operations Executive to support daily business operations, optimize operational workflows, and drive cross-departmental coordination. In this entry-to-mid level role, you will report directly to the Operations Manager, Chief Operating Officer (COO), or Operations Lead and collaborate closely with Procurement, Logistics, Customer Service, Sales, and Facilities Management teams. You will be responsible for monitoring business processes, facilitating inter-departmental workflows, maintaining operational databases, and assisting in the execution of key operational projects. Responsibilities include tracking order fulfillment cycles, auditing daily operational logs, updating standard operating procedures (SOPs), preparing operational performance reports, managing vendor service agreements, and resolving operational bottlenecks as they arise. Success in this position requires strong organizational and problem-solving skills, numerical literacy, proficiency in process management software and spreadsheets, effective communication capabilities, and a continuous-improvement mindset to ensure business continuity and efficiency. Qualifications Education: Bachelor's degree or Diploma in Business Administration, Operations Management, Industrial Management, Supply Chain, or a related field. Business & Operations Support: 1–2 years of practical experience in business operations, process coordination, project tracking, or operational administration within a corporate, logistics, or service environment. Process Monitoring & SOP Execution: Proven ability to execute, document, and update Standard Operating Procedures (SOPs), audit compliance with internal workflows, and identify operational bottlenecks. Workflow & Task Management Tools: Hands-on experience utilizing project management and operations tracking tools (e.g., Asana, Trello, Jira, Monday.com, or Notion) to track team deliverables and timelines. Vendor & Facilities Coordination: Experience handling external service contractors, managing facility maintenance schedules, reviewing vendor service level agreements (SLAs), and processing operational purchase requisitions. Spreadsheet Proficiency & Operational Analytics: Intermediate skills in Microsoft Excel / Google Sheets (VLOOKUP/XLOOKUP, Pivot Tables, SUMIFS, and data validation) to compile Key Performance Indicator (KPI) dashboards, track throughput metrics, and analyze resource utilization. Data Management & Record Keeping: Proficiency in maintaining centralized operational databases, document repositories, and inventory/asset registries with strict version control. Risk Management & Problem Solving: Strong critical thinking skills to troubleshoot sudden operational disruptions, escalate critical risks appropriately, and implement immediate corrective actions. Cross-Functional Communication: Clear written and verbal communication skills to interface effectively across departments, present operational summaries to management, and liaise with external partners.
