Operations & Shipping Specialist

Job Summary:

The Operations & Shipping Specialist is responsible for managing the day-to-day operations related to shipping and logistics, ensuring that all shipments are processed efficiently, accurately, and in compliance with company policies and international shipping regulations. This role plays a key part in coordinating with suppliers, customers, and internal teams to guarantee timely delivery and optimize the company's supply chain processes.

Key Responsibilities:

  • Shipping Coordination:
  • Plan and manage all logistics and shipping activities, including scheduling, carrier selection, and cost management.
  • Coordinate with freight forwarders, customs brokers, and shipping agents to ensure smooth and timely deliveries.
  • Prepare and review all shipping documents, such as bills of lading, invoices, and packing lists, ensuring accuracy and compliance with regulatory requirements.
  • Inventory Management:
  • Monitor and manage inventory levels to ensure optimal stock levels are maintained.
  • Coordinate with the procurement team to manage incoming shipments and restocking needs.
  • Customer Service:
  • Communicate with customers regarding shipment statuses, delays, and other logistics-related inquiries.
  • Resolve any shipping-related issues, including delays, damages, or discrepancies.
  • Compliance & Documentation:
  • Ensure all shipping activities comply with local and international laws and regulations.
  • Maintain accurate records of shipments, including costs, transit times, and delivery confirmations.
  • Process Improvement:
  • Analyze shipping and logistics processes and suggest improvements to reduce costs, improve efficiency, and enhance service levels.
  • Collaborate with the operations team to streamline processes and implement best practices.
  • Cost Management:
  • Monitor and control shipping costs, negotiating with carriers and suppliers to obtain the best rates and service levels.
  • Prepare cost reports and assist in budgeting for shipping and logistics expenses.

Qualifications:

  • Education: Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
  • Experience:
  • Minimum of 3-5 years of experience in shipping, logistics, or supply chain management.
  • Experience in international shipping and customs regulations is highly preferred.
  • Skills:
  • Strong knowledge of logistics software and tools (e.g., SAP, ERP systems, TMS).
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal skills.
  • Problem-solving abilities with a focus on customer satisfaction.
  • Ability to work in a fast-paced environment and handle multiple tasks simultaneously.

Working Conditions:

  • Primarily office-based with occasional visits to warehouses or shipping sites.
  • May require working outside regular business hours to manage international shipments.
