Based in the breathtaking surroundings of Kalba, you’ll be the heartbeat of our operations, ensuring every booking is flawlessly managed, supporting our sales team, and making sure all the exciting details reach our Program team for smooth, unforgettable experiences. You’ll also play a key role in the operations of the vibrant Kalba Caffe, while working closely with our dynamic Dubai office. Responsibilities:

  • Support the Sales and Operations teams by managing booking information, calendars, and client files.
  • Handle booking queries from large groups, ensuring smooth communication and coordination with the Program team.
  • Communicate all booking details to the Program team to ensure successful delivery of school trips for groups of 100 people or more.
  • Assist with the daily operations of the Kalba office, including to help run Kalba Cafe when needed.
  • Manage booking logistics, including gathering and coordinating medical and dietary information.
  • Ensure all client details are passed on timeously and accurately to relevant teams to maintain efficiency.
  • Maintain positive relationships with schools and educational institutions, acting as the point of contact for demanding teachers and group leaders.
  • Work closely with the Dubai team to ensure that all information is shared effectively between offices.


Requirements:

  • 5+ years of office administration experience, ideally handling large bookings.
  • Proficiency in Microsoft Office (Outlook, Excel, PowerPoint).
  • Strong communication skills, with the ability to liaise with demanding clients and maintain professionalism.
  • Detail-oriented with the ability to manage a vast amount of information while maintaining accuracy.
  • Ability to work independently, manage multiple tasks, and handle high-pressure situations.
  • Fluent in English, with excellent verbal and written communication skills.
  • Willingness to work overtime when required, especially during peak periods.
