“Back Office Executive” DUCAMZ Experience MANDATORY

We are looking to hire an experienced “Back-Office Executive” to join our team.

As a “Back-Office Executive”, you will be reporting to the Financial Manager and assisting with various administrative duties.

To ensure success as a “Back-Office Executive”, you should have extensive experience in office management, the ability to work as part of a team, and the ability to respond quickly to requests from management. Ultimately, a top-class “Back-Office Executive” works quickly and efficiently to provide reliable support for management and the front office team.

Responsibilities:

  Sales Department:

  • Making and editing proforma invoices
  • Booking cars in E-Cars system – Chassis
  • Creating sales invoice and receipt vouchers
  • Maintaining monthly sales reports (Car Sales)
  • Making Purchase orders manually
  • Maintaining payment details for customers
  • Coordinate with Logistics Team, to generate necessary documents related to sold units,
  • Submitting Daily and weekly Report to Head office and book cars related to Orders,
  • Sending customer details to Head Office to prepare the shipment

  Logistics:

  • Maintaining inventory/ stocks in E-Cars system, (Store & Logistics Management)
  • Coordination for Cars Transfer Location
  • Monitoring Master inventory (excel file)
  • Getting shipping documents (Bill of Lading, Invoice, Packing List, COO) from the suppliers/ Freight

  Finance & Accounting:

  • Posting purchase invoice and expenses in E-Cars
  • Support the Financial department with account reconciliations and other accounts related to Tradex France,

  Admin:

  • Admin support to higher management
  • Ad-hoc duties



Skills

Skills/ Qualifications:

  • Bachelor’s degree in business administration or similar field.
  • Previous work experience as an Office Executive.
  • Excellent organizational skills.
  • Knowledge of computer operating systems and MS Office especially in Excel
  • Working knowledge of SAGE Software (preferable)
  • Ability to work as part of a team.
  • High-level written and verbal communication skills.
  • Basic knowledge of financial and accounting software
  • English Language is Mandatory
  • DUCAMZ Experience is Mandatory
