The Executive Secretary plays a pivotal role in supporting the management team within a Legal Process Outsourcing (LPO) environment. This position requires a highly organized individual who can manage multiple tasks efficiently while maintaining a high level of professionalism. The Executive Secretary will be responsible for facilitating communication, managing schedules, and ensuring that the office runs smoothly. This role is ideal for someone with a strong background in administrative support, particularly in the legal or corporate sector.
Responsibilities:
- Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, reports, and presentations for internal and external stakeholders.
- Act as a point of contact between executives and clients, ensuring timely communication and follow-up.
- Organize and coordinate meetings, including preparing agendas and taking minutes.
- Maintain filing systems and ensure that all documents are organized and easily accessible.
- Assist in the preparation of legal documents and contracts as required.
- Handle confidential information with discretion and professionalism.
- Support the management team in various administrative tasks and projects as needed.
- Monitor office supplies and place orders to ensure the office is well-stocked.
- Conduct research and compile data to assist in decision-making processes.
Preferred Candidate:
- Proven experience as an executive secretary or in a similar administrative role.
- Strong organizational and time management skills.
