Job Summary: As a Receptionist & Administrative Assistant, you will be the first point of contact for our clients and visitors. In addition to managing front desk responsibilities, you will assist with various administrative tasks to support the smooth operation of our office. Your real estate experience (if applicable) will be an added benefit in understanding the nuances of our business.
Key Responsibilities:
- Greet and assist clients, visitors, and team members in a professional, friendly, and efficient manner.
- Manage incoming calls, emails, and inquiries, directing them to the appropriate department or individual.
- Perform general administrative duties including filing, data entry, document preparation, and maintaining office supplies.
- Schedule appointments, meetings, and conferences for the team.
- Maintain and update client and property databases (real estate experience is a plus).
- Assist with preparing and processing real estate documents such as contracts, listings, and lease agreements.
- Coordinate and communicate with vendors, contractors, and other third parties as needed.
- Assist with marketing tasks, such as updating social media platforms, managing online listings, and preparing promotional materials.
- Ensure the office environment is organized, clean, and professional at all times.
- Perform other duties as assigned to support the office and real estate operations.
