Job Description:
We are seeking a highly organized, reliable, and detail-oriented Back Office Supervisor to oversee and coordinate all administrative and operational support functions within the company. The ideal candidate will ensure that internal processes run smoothly, efficiently, and in full compliance with company standards. This role requires exceptional multitasking abilities, strong communication skills, and the capacity to manage a team responsible for documentation, client follow-up, quality checks, and coordination between departments. The Back Office Supervisor plays a key role in supporting the sales team, ensuring accuracy in all files, and maintaining a high level of operational excellence across the organization. Key Responsibilities:
• Oversee daily back-office operations and ensure smooth workflow across all administrative tasks
• Supervise and support the back-office team, ensuring high performance, accuracy, and efficiency
• Review, validate, and organize all client documentation with strong attention to detail
• Coordinate with sales agents, team managers, and external partners to ensure timely processing of files
• Maintain accurate records, internal databases, and digital archives in accordance with company standards
• Ensure compliance with internal processes, legal requirements, and quality-control procedures
• Monitor deadlines, follow up on pending files, and ensure timely completion of all tasks
• Assist in onboarding new agents by preparing documentation, access, and system setup
• Prepare weekly and monthly activity reports for management
• Identify workflow issues and propose process improvements to enhance productivity
• Manage communication with clients when required, ensuring clarity and professionalism
• Provide administrative support for meetings, schedules, and interdepartmental coordination
• Maintain confidentiality and ensure proper handling of sensitive information
Skills
Skills & Requirements:
* Minimum of two years of proven experience as a Back Office Supervisor or in a similar administrative leadership role
* Fully bilingual in French and English, with excellent written and verbal communication skills in both languages
* Strong organizational and multitasking abilities, able to manage multiple priorities simultaneously
* High attention to detail with excellent accuracy in data handling and document verification
* Strong command of administrative processes, digital tools, and office management systems
* Ability to supervise, train, and support a back-office team with professionalism and efficiency
* Strong problem-solving skills and the ability to take initiative in resolving operational issues
* Excellent time management, reliability, and ability to meet dead' in a fast-paced environment
* Solid understanding of compliance, documentation standards, and internal workflow procedures
