Role Overview
We are seeking a dedicated Permit Coordinator to support the day‑to‑day coordination, review, and approval of permits to work within the Maximo system. This role ensures that high‑risk and routine contractor activities are properly planned, authorized, and controlled in line with organizational procedures and safety standards.
Based in the Permit Office, the Permit Coordinator provides frontline assurance by reviewing permit applications, verifying risk assessments and method statements (RAMS), and conducting site checks to confirm that works are carried out in accordance with approved permits. The role plays a key part in contractor engagement by offering guidance, delivering toolbox talks, and supporting safe systems of work.
This position requires strong attention to detail, confidence in challenging unsafe practices, and the ability to balance operational demands with strict compliance. Through active site presence, inspections, and communication, the Permit Coordinator helps ensure contractor works are delivered safely, compliantly, and without impact on colleagues, guests, or operations.
Key Responsibilities
- Ensure the Permit to Work system is consistently applied, controlled, and compliant across all relevant activities, locations, and contractors.
- Review and approve permits within the Permit to Work system (e.g., Maximo) in line with defined authorization levels.
- Verify that risk assessments, method statements, competency certificates, and supporting documents are suitable and sufficient.
- Confirm that hazards, controls, and emergency arrangements are clearly identified and communicated prior to work commencing.
- Ensure permits are correctly issued, displayed, suspended, closed, and archived.
- Conduct site checks to verify that work is performed accordance with approved permits and control measures.
- Intervene where unsafe conditions or permit non‑compliance are identified, including issuing stop‑work or improvement notices when required.
- Support dynamic risk assessments and permit amendments when work conditions change.
- Liaise directly with contractors and supervising teams to clarify permit requirements and expectations.
- Support contractors in understanding Permit to Work standards, processes, and behavioral expectations.
- Participate in toolbox talks and pre‑start briefings to reinforce safe systems of work.
- Deliver Permit to Work inductions, briefings, and refresher training for contractors.
- Support competency verification for permit users, issuers, and approvers.
- Promote best practices and consistent application of Permit to Work requirements.
- Carry out Permit to Work inspections and audits in line with established inspection programs.
- Record findings, actions, and observations within relevant systems.
- Support analysis of permit data to identify trends, recurring issues, and improvement opportunities.
- Contribute to updates of Permit to Work procedures, guidance, and training materials.
- Maintain accurate records of permits, inspections, training, and related documentation.
- Ensure documentation is controlled, accessible, and retained in line with organizational requirements.

- High school qualification
- NEBOSH General Certificate in Health & Safety / Construction Certificate

- Minimum of 3 years of operational work experience
