The main duties and responsibilities of this role:Tenant Relations
- Develop strong, professional relationships with all retail tenants and coordinate all major requirements.
- Lead meetings and discussions with tenants to address issues, escalating as required.
- Ensure that all retail tenant complaints, issues, and operational challenges are addressed regularly.
- Ensure tenant compliance with Dubai Municipality, DHAM lease policies, housekeeping, safety, and security.
- Monitor tenant compliance to standards, lease guidelines, HSE/Fire safety.
- Conduct routine checks to ensure all tenant stores are trading, well-presented, maintained, and safe.
- Ensure maintenance and safety issues raised by tenants are escalated and resolved promptly.
- Inspect each unit based on the approved schedule, including Specialty Leasing units.
- Prepare special case reports for rent discount requests.
- Conduct tenant orientation and regular tenant meetings.
- Draft tenant letters, rent concession cases, early terminations, and memos.
- Ensure collection of tenant data (sales, footfall, compliance documents, permits, etc.).
Coordination with Different Departments
- Coordinate with the technical team regarding tenant requirements and modifications.
- Escalate tenant issues in common areas to relevant departments.
- Liaise with Finance regarding billing issues and reconciliations.
- Support setup and engagement in marketing events and programs.
Documentation & Communication
- Develop and execute plans for collecting tenant documents/data.
- Prepare and present tenant correspondence and memos.
- Keep tenant files updated (leases, trade licenses, insurances, IDs, Ejari, etc.).
- Maintain tenant records for audit and government review.
- Maintain tracker for all tenant communication.
Rental Collections & Billing
- Set goals for the TRE regarding collections, provide follow-up and guidance.
- Follow up with tenants for timely rental payments and assist with disputes.
- Prepare collection case details as required.
Tenant Variations / Alterations
- Process all legal/statutory notices regarding tenant requests or violations.
- Liaise with DHAM departments for tenant variation requests.
- Conduct inspections for lease/H&S violations and follow-up.
- Process non-technical tenant requests and Tenant Work Permits (NOCs).
Marketing Support
- Facilitate tenant-driven marketing initiatives.
- Encourage tenants to utilize shop window schemes for key events (Eid, Valentine’s Day, etc.).
Performance Review & Reporting
- Analyze retailer and category performance and present findings.
- Support leasing department with tenant mix optimization.
- Conduct data entry and analysis using Yardi, POS, Footfall, RAFs.
- Support preparation of retail asset management reports.
About you:The ideal candidate for this position will have the following experience and qualifications:- Bachelor’s degree in Business Administration/Management or related field.
- Minimum 6 years in retail/real estate management, mall operations, tenant relations, leasing, or customer experience.
- Middle East experience is a plus.
