Role Summary:
The role of the Senior Operations Executive will involve assisting the Operations team in the smooth functioning of the Government Services Department.
Contract: Permanent
Location: Dubai, UAE (On-Site)
Key Responsibilities:
- Coordinate and support port call execution for Government and Defence clients, ensuring accurate documentation and timely service delivery.
- Liaise with internal stakeholders and global offices to ensure smooth handling of vessel operations.
- Communicate professionally with clients, agents, and service providers via email and calls to clarify requirements and updates.
- Assist government services team in any other logistics operations coordination.
- Assist government services in the contractual bidding process if required.
- Monitor operations data and service logs for accuracy, escalating discrepancies when needed.
- Assist in preparing reports, quotations, and financial reconciliations using Excel and internal systems.
- Maintain and update operational trackers, port performance metrics, and vessel movement schedules.
- Meet all KPI’s as specified in the contracts
- Working closely with the team members and providing emergency back-ups as necessary to make sure that all the client requests are met timely irrespective of weekends or holidays.
- Business travel as required by Management to attend the port visits or logistics operations.
- OPSEC (Operations Security) – Utmost responsibility to keep the confidentiality of government clients, activities & process involved in.
HSSE - Health, Safety, Security and Risk (mandatory requirements)
- Comply with all Health & Safety policies.
- Accountable for assessing HSSE risk and implementing risk controls within area of responsibility.
- Accountable for reporting all accidents, incidents and near misses whether the persons are injured or not.
- Taking action within area of accountability to ensure the HSSE of both the job holder and other persons who may be affected by acts carried out or failed to be carried out by the job holder while at work.
- Ensure full compliance with the ISS HSSE Management System.
Candidate Requirements:
- Degree Educated or equivalent experience in a relevant field.
- Eligibility to work in Dubai, UAE.
- Strong communication - Both written and verbal.
- Competent user of the Microsoft Office including Outlook, Excel and Word.
- Customer service orientation and interpersonal skills.
- Able to resolve basic contracts and pricing issues.
- Analytical, mathematical and multi-tasking skills.
- Work independently and as a team member.
- Able to work remotely without compromising the quality of output.
