Keep updated records of office expenses and costs.
Customer:
Front Desk Management: Greet visitors, answer phone calls, and respond to inquiries in a courteous and professional manner, providing excellent customer service.
Visitor Assistance: Guide and assist visitors, ensuring they are directed to the appropriate departments or individuals promptly.
Customer Issue Resolution: Handle basic customer concerns or inquiries, escalating issues to the relevant departments when necessary for quick resolution.
Internal Business Process:
Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
Provide basic and accurate information in-person and via phone/email
Receive, sort and distribute daily mail/deliveries.
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
Order front office supplies and keep inventory of stock.
Update calendars and schedule meetings.
Arrange travel and accommodations, and prepare vouchers
Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.
People:
Interpersonal Communication: Maintain positive relationships with both internal staff and external visitors, creating a welcoming environment for all.
Team Support: Assist other administrative staff or departments with tasks when required, fostering a cooperative work environment.
Qualification, Experience & Skills:
Graduate in any discipline
2+ years of hands on experience in administration or handling front office reception
Excellent English communication skills.
