Job description

  • Manage the Managing Director’s daily calendar, schedule appointments, and coordinate domestic and international travel arrangements, including itineraries, accommodation, and transportation.
  • Organize board meetings, executive meetings, and conferences by coordinating logistics, preparing agendas and supporting documents, and attending meetings to accurately record, transcribe, and distribute minutes.
  • Manage incoming and outgoing correspondence, including emails, phone calls, and mail, while serving as the primary point of contact for clients, vendors, and senior executives.
  • Draft, proofread, and edit reports, presentations, contracts, and other business documents, ensuring accuracy, professionalism, and timely delivery.
  • Maintain and manage both physical and electronic filing systems, ensuring records are well-organized, easily accessible, and handled with the highest level of confidentiality and data security.


Skills

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and video conferencing and scheduling tools, with working knowledge of QuickBooks, basic bookkeeping, and project management software.
  • Strong organizational and time management skills, with the ability to manage complex executive calendars, prioritize competing demands, and coordinate corporate events efficiently.
  • Excellent written and verbal communication skills, with experience drafting reports, managing correspondence, preparing meeting minutes, and building effective relationships with stakeholders at all levels.
  • High level of professionalism, discretion, and integrity, with the ability to handle highly sensitive and confidential corporate and personal information.
  • Proactive and resourceful problem-solver, capable of anticipating executive needs, resolving conflicts, adapting to changing priorities, and working independently in a fast-paced environment.
