We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the CEO of our company. The ideal candidate will have at least 2 years of experience in a similar role and be able to handle a wide range of administrative and executive support tasks. This is a fast-paced and dynamic position that requires a high level of professionalism, discretion, and attention to detail.
Responsibilities:
- Manage the CEO's calendar and schedule appointments, meetings, and conferences.
- Coordinate travel arrangements including flight bookings, hotel reservations, and transportation.
- Prepare and edit correspondence, presentations, and reports for internal and external stakeholders.
- Attend meetings, take minutes, and distribute meeting agenda and materials.
- Screen and prioritize incoming phone calls, emails, and mail.
- Manage the CEO's contacts and maintain an updated database.
- Assist in preparing for board meetings and other high-level executive meetings.
- Coordinate and manage special projects and events as assigned.
- Handle confidential and sensitive information with the utmost discretion.
- Perform general administrative tasks such as filing, photocopying, and organizing documents.
Preferred Candidate:
- Minimum of 2 years of experience as an Executive Assistant or similar role, supporting C-level executives.
- Bachelor's degree in Business Administration or related field.
- Excellent written and verbal communication skills in English.
- Strong organizational and multitasking abilities.
- Ability to work independently and prioritize tasks effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and back office software (e.g. ERP)
- Detail-oriented with exceptional attention to accuracy and completeness.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Professional and polished demeanor with a positive attitude.
