Role Description
We are seeking a highly organized and proactive Executive Assistant to provide full time, on-site high-level administrative support to our Managing Director. The ideal candidate will have strong communication and organizational skills, as well as the ability to handle a wide range of administrative and executive support tasks. This position offers the opportunity to work closely with the owner and MD and contribute to the smooth functioning of the executive office in a fast-paced and dynamic company.
Responsibilities
- Manage and maintain the MD's calendar and schedule, including organizing meetings, appointments, and travel arrangements.
- Coordinate and prioritize incoming requests and ensure timely responses to emails and calls.
- Prepare and edit correspondence, communications, presentations, and other documents on behalf of MD
- Conduct research, compile data, and prepare reports for the MD's review and presentation.
- Assist in preparing for meetings, including drafting agendas, taking minutes, and following up on action items
- Act as a liaison between the MD and internal/external stakeholders, including clients, partners, and board members.
- Handle confidential information with discretion and maintain strict confidentiality at all times.
- Provide administrative support for special projects and initiatives as directed by the CEO.
- Personal assistant services for MD.

Qualifications
- Proven experience as an executive assistant or similar role, supporting C-level executives in a fast-paced environment.
- Exceptional organizational and time management skills with the ability to prioritize and multitask effectively.
- Strong written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders.
- Proficiency in Microsoft Office suite and other relevant software applications.
- Ability to maintain a high level of professionalism and confidentiality in handling sensitive information.
- Resourcefulness and proactive problem-solving skills with a high attention to detail.
- Ability to work independently, take initiative, and anticipate the needs of the CEO and the executive office.
- Bachelor's degree in business administration, management, or related field is preferred.
- Fluency in English is required; additional language skills are a plus.
