We are a growing legal consultation company based in Dubai seeking a highly organized, proactive, and multi-skilled Secretary cum Administrative Assistant. The ideal candidate will act as the backbone of our office operations, providing direct support to the Co-Owner. You must be comfortable handling a diverse range of tasks, including client communication, billing, meeting scheduling, and basic accounting within a professional services environment. Key Responsibilities • Office Administration & Front Desk: Manage the reception area, greet clients professionally, handle incoming calls, emails, and correspondence. • Executive Support: Provide high-level administrative support to the Co-Owner, including managing calendars, scheduling appointments, and preparing for meetings. • Client Follow-up & Liaison: Act as the primary point of contact for clients, following up on cases, collecting information, and providing case updates. • Billing & Accounting Support: Prepare invoices, track fee payments, manage billing narratives, and follow up with clients on outstanding payments. Handle basic accounting, expense reporting, and petty cash management. • Reporting: Prepare daily/weekly reports on office operations, billing status, and client follow-up updates for the Co-Owner. • Office Supplies & Logistics: Maintain inventory of office supplies, manage office equipment, and coordinate with vendors.

• Experience: Minimum 2–5 years of proven experience as a secretary, admin assistant, or personal assistant, preferably in a legal firm or professional services consultancy in Dubai. • Education: Bachelor’s degree in Business Administration or relevant field. • Multitasking Skills: Exceptional ability to manage billing, admin, and front desk tasks simultaneously while maintaining accuracy. • Technical Skills: Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint). Familiarity with legal management software or billing software is a plus. • Communication: Excellent written and verbal English communication skills (Arabic is a plus). • Professionalism: High level of discretion, professionalism, and ability to handle confidential information.
