Roles & Responsibilities

The Office Manager will provide high-level administrative and operational support to the CEO . The role ensures smooth office operations, efficient coordination across departments and department Heads, and effective communication with internal and external stakeholders. This position requires discretion, organizational excellence, and the ability to manage multiple priorities in a fast-paced environment.


Areas Key Activities

Executive Support

  • Provide comprehensive administrative support to the CCO, including

managing calendars, scheduling meetings, and coordinating travel

arrangements.

  • Prepare presentations, reports, and briefing documents for internal and

external meetings.

  • Handle correspondence, emails, and calls on behalf of the CCO with

professionalism and confidentiality.

Office & Operations Management

  • Ensure smooth day-to-day office operations, including supplies, facilities,

and office systems.

  • Liaise with various departments to streamline administrative processes and

support commercial operations.

  • Maintain filing systems, records, and confidential documents accurately.

Coordination & Communication

  • Act as a point of contact between the CEO, senior management, and

internal/external stakeholders.

  • Organize meetings, conferences, and events, ensuring all logistics are

managed efficiently.

  • Draft and circulate meeting minutes, action points, and follow-ups.

Project Support

  • Assist the CEO team with project coordination, timelines, and reporting.

  • Track key performance metrics and ensure deadlines are met.

  • Ensure that project documentation is up to date.

  • Monitor project report submission; check project report quality.

  • Prepare portfolio status reports.

  • Track individual projects and portfolio

  • Provide portfolio-level reports to CEO

Risk management

  • Contribute to the preparation and maintenance of project risk registers and

the project portfolio risk register.

  • Contribute to the asset risk register, when required.

Technology

  • Propose systems, applications and tools for innovation and design

management.

  • Ensure that project teams utilise approved systems, applications and tools.

Compliance

  • Ensure that all designs, works and processes comply with legal / regulatory

and internal requirements.

  • Advise subordinates on compliance-related matters.

Desired Candidate Profile

Education and qualifications

  • Bachelor’s degree in business administration, Management, or related

field.

Experience

  • Minimum 8 years of experience in office management or executive support,

preferably supporting senior management or C-level executives.

  • Excellent organizational, planning, and time-management skills.

  • Strong written and verbal communication skills.

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

  • Ability to handle confidential information with discretion.

Skills

  • Proactive, detail-oriented, and able to manage multiple tasks

simultaneously.

  • Strong interpersonal skills and ability to work with cross-functional teams.
